Modernizing Sponsorship Operations
A sponsorship strategy and operations project focused on rebuilding outdated materials, clarifying partner options, and creating a more organized internal process for tracking intake, and fulfillment.

The Situation
As in-person events resumed following the COVID-19 pandemic, many of the organization's sponsorship materials and workflows were outdated, fragmented, or no longer actively maintained. Ownership had shifted across teams over time, and much o fate previous process existed only through disconnected spreadsheets, legacy documents, and institutional knowledge.At the same time, sponsors needed clearer information, more flexibility, and a smoother overall experience as engagement efforts restarted across multiple events and audiences.The goal was not simply to refresh promotional materials, but to rebuild the sponsorship process as a more connected system, improving clarity for sponsors while creating a more organized and scalable internal workflow moving forward.
Rebuilding the System
Sponsor Communication & Package Design
Focused on improving clarity, flexibility, and usability across sponsorship materials by redesigning brochures, refining package structures, and helping sponsors more easily understand available opportunities and event audiences.

Tracking & Operational Structure
Built a centralized tracking system to manage sponsor status, fulfillment process, required assets, and event-specific benefits across multiple sponsorship levels and conferences.

Intake & Workflow Improvements
Introduced a more structured sponsor intake and commitment process designed to reduce back-and-forth communication, improve accountability, and collect key information earlier in the workflow.

Outcomes & Impact
The new process helped sponsorship become easier to sell, easier to understand, and easier to manage as volume increased.In FY24, sponsorship revenue reached $114,000 across four specialty conferences. In FY25, sponsorship revenue grew to $304,650 across a broader conference portfolio. While I would not frame that growth as being caused by one brochure, tracker, or process change, the more structured system helped make that growth more manageable by clarifying offerings, improving sponsor intake, and giving the internal team a clearer way to track commitments, assets, payments, and fulfillment needs.

The Problem
The organization's communication structure had evolved over time without a consistent audience strategy or subscriber management system. Publications, event invitations, and updates often relied on overlapping lists, manual processes, and broad assumptions about what subscribers wanted to receive.

Subscribers could only fully unsubscribe rather than manage communication preferences for individual publications.

The project created a scalable framework for managing audience preferences, publication subscriptions, segmentation logic, and automated communication workflows across Salesforce Marketing Cloud.While the full rollout is still in progress, the underlying structure and operational foundation have already been designed and implemented to support more intentional audience management, improved subscriber control, and future onboarding and lifecycle communication strategies moving forward.
